Could you be the friendly face that helps a community organisation run smoothly?
We’re looking for a friendly, welcoming and organised volunteer to support the team at Martin Snape House.
You’ll be one of the first people visitors, community groups and members meet when they arrive, helping everyone feel welcome and making sure they get to the right person or service.
It’s a varied role, so there’s plenty of opportunity to get involved in different things depending on your interests and skills. You don’t need to have experience in everything – you’ll receive an induction, guidance and ongoing support.
What could you get involved with
Welcoming and reception
- Welcoming visitors and helping them find the right person or organisation.
- Answering the telephone and passing on messages.
- Responding to general enquiries and signposting people to the appropriate service.
- Helping to keep the reception area welcoming and organised.
- Providing information about the building and organisations based there.
Office and admin support
- Filing and organising information.
- Preparing straightforward documents, letters and forms.
- Printing meeting room calendars.
- Helping with general office administration.
- Preparing materials for meetings, events, newsletters and bulletins.
- Helping the team with a range of straightforward administrative tasks.
Meetings and events
- Helping to prepare meeting rooms.
- Welcoming people attending meetings and events.
- Helping with room set-up and clear-up.
- Checking rooms are tidy and ready for the next users.
- Helping visitors with general queries.
- Reporting any maintenance or equipment issues to staff.
Supporting Community First
Depending on your interests, you might also help with things such as:
- Updating contact information.
- Gathering information for newsletters and bulletins.
- Organising photographs and other materials.
- Preparing information for community groups.
- Supporting occasional community events and activities
Skills
What are we looking for?
You don’t need to be an experienced receptionist or administrator. We’re looking for someone who is:
- Friendly and approachable.
- Comfortable speaking to different people.
- Organised and reliable.
- Happy to answer the phone and deal with general enquiries.
- Willing to learn and ask questions when needed.
- Able to work as part of a team.
There will always be a member of staff available to support you if you’re unsure about something.
What could you gain?
This is a great opportunity to build confidence, develop administration and communication skills, meet people and gain experience in a busy community organisation.
Most importantly, you’ll be helping to make sure visitors and community organisations receive a warm welcome and that the team at Martin Snape House has the practical support it needs.
Interested? We’d love to hear from you!
